The Step Up

From Renting Photo Booths to Your Own Business

Almost nobody starts a photo booth rental business by buying a machine. They buy in a 360 photo booth rental for one Saturday, a wedding photo booth rental for the next, and by the third quote they notice the interesting part of that money is going somewhere else. This is what changes the day the booth is yours.

How It Usually Goes

The Path Nobody Plans

It starts small and by accident. Somebody asks for a booth at an event you are already organising, so you end up renting a photo booth for a wedding or a company party, and it goes well. The next person hears about it and asks you. By the third or fourth time you are no longer somebody who hired a booth, you are somebody who sells booths and buys them in. From renting to owning a photo booth is one step, and most operators take it later than the numbers say they should.

That is a real business, and it works. You did the selling, you handled the client, you were there on the night. The only awkward part is the invoice from the company whose machine turned up, because it is a share of every job you will ever sell, taken before you see a cent of it.

At some point the numbers say the obvious thing, and if you want to see them written out, that is photo booth rental cost vs owning one. This page is about what actually changes afterwards.

The Difference

What Changes the Day the Machine Is Yours

Part of the job Renting somebody else's booth Working your own
The margin A slice leaves the business on every booking, for as long as you take bookings. It stays. Media and travel come off, the rest is yours.
The date Their diary decides. A busy Saturday in June and your client goes elsewhere. Yours. The answer on the phone is yes, not let me check.
The software Whatever is installed, with whatever it can and cannot do. Your choice, configured once and the same at every event.
The branding Another badge on the machine, another template on the print. Yours on the overlay, the print and the share screen.
The formats you can sell Whatever sits in somebody else's catalogue this season. What you bought, and what you add next.
Maintenance Not yours. Also not something you ever learn. Yours: spares, a service habit and a Saturday morning now and then.
What you own at the end A client list, which is worth having. A client list and an asset with a resale market.
The Order

How to Start a Photo Booth Rental Business with Your Own Machine

  1. Read your own diary first. Not the market, yours. Which format did people actually book through you, and how often? That answer picks the machine, and it is a better guide than any trend or any photo booth rental business plan template.
  2. Price the machine against your rental fee. Mirror booth and vintage cabinet from €2,359 plus VAT, 360 platform from €2,771, aerial 360 from €3,389. Divide by what one rental costs you. That is your break even in events.
  3. Buy the booth, not the extras. The photo booth equipment a rental business needs on day one is the machine, its software and the media it prints on. Backdrops, props and a second printer can wait for the bookings that pay for them. The equipment list splits day one from later on purpose.
  4. Settle the software before the first event, not at it. Templates, sharing, data capture and the branding, decided once. Start at photo booth software.
  5. Rehearse the setup in your own space. Time it, twice. Setting up at an event covers the order and the four things that usually go wrong, and the first venue is a bad place to find them out.
  6. Repeat the clients you already had. The people who booked through you before are the cheapest bookings you will ever get, and now they pay full margin. How to start a photo booth business covers pricing and where the rest come from.
The Honest Part

What You Give Up

Renting has two genuine advantages and it is worth naming them, because they are the ones people miss in month two rather than in week one.

The first is that you could say yes to anything. Any format, any date, any size of job, without owning a thing. Once the machine is yours, the format you bought is the format you sell easily, and two clients on one Saturday means renting a second unit or turning one away. That does not go away, it just becomes a decision you make rather than one made for you.

The second is that nothing was ever your fault. A printer that stops at eleven at night used to be somebody else's emergency. Now it is your spare ribbon, your spare cable and your habit of checking the machine on the Thursday. Owners get good at this quickly, and it is the part where buying from the people who actually build the machine matters more than the price: our manufacturer page explains what to ask before you pay anybody.

And if the sum has not turned yet, do not force it. Below your break even, renting is still the right answer, and buy or rent a photo booth goes through the cases where that stays true even for people who already own one.

The First Machine

Where to Start Looking

Print in the hand, weddings and corporate dinners: the mirror booth or the vintage cabinet, both from €2,359 plus VAT. Video, activations and young crowds: the 360 platform from €2,771, with 80 and 100 cm bases and a glass version that carries up to 250 kg. The dates you have been buying in already answer this. A year of vintage photo booth rental and mirror photo booth rental for weddings points at print in the hand; a year of 360 photo booth rental for wedding after-parties and brand activations points at the platform. Undecided is normal, and 360 vs mirror photo booth is the page that settles it.

Everything we build is on photo booths for sale, with the numbers behind each one in how much does a photo booth cost. Starting a photo booth business from a diary you already have is the easy version of it: you own a photo booth business from the first Saturday you work, and the bookings that used to pay a subcontractor pay the machine instead. Tell us the events you keep getting asked for and we will tell you which machine those events want, including when the answer is that you should rent another season first.

Frequently Asked Questions

When is the right moment to stop renting and buy my own photo booth?

When the diary says so twice over: you are turning down dates because somebody else had the machine, and the fee you pay per event has started to add up to the price of one. A mirror booth or a vintage cabinet starts at €2,359 plus VAT, a 360 platform at €2,771. Divide that by what one rental costs you and you have the moment in events rather than in months.

What photo booth equipment does a rental business actually need before the first event?

A booth, print media if the format prints, software, and a way to get it there. That is the short list of photo booth equipment for a rental business, and our photo booth equipment list separates day one from what the third booking can pay for. Printers start at €723 plus VAT if you are adding print to a booth you already have.

Is a photo booth rental business profitable?

Once the machine is yours, the booking minus media and travel stays in the business, and a booth from €2,359 plus VAT costs about what a short run of events brings in. What operators actually make per event and per year, with the costs that eat into it, is worked through in how much do photo booth owners make. While you are subcontracting, the same bookings pay somebody else first.

Do I need a photo booth rental business plan before buying?

A short one, built from your own diary rather than a template: the formats people booked through you, how often, what you charged, and what the subcontractor took. That gives you the break even in events, the first machine to buy and the price to hold. Anything longer than a page at this stage is guessing dressed up as planning.

What do I lose by owning instead of renting?

The freedom to say yes to any date without owning anything, and the freedom to have somebody else fix it. When the machine is yours, an overlapping Saturday means subcontracting or a second unit, and a failure at eleven at night is your phone that rings. Both are manageable. Neither is invisible.

Which booth makes the best first purchase?

The one that matches the bookings you already get asked for. Weddings, galas and corporate dinners want print in the hand, which is a mirror booth or a vintage cabinet, from €2,359 plus VAT. Activations and young crowds want video, which is a 360 platform, from €2,771 plus VAT.

Can I keep subcontracting once I own a booth?

Yes, and the operators who do it best never stop entirely. Your own machine covers the dates you sell, and a rented second unit covers the Saturday where two clients want the same evening. Owning removes the dependency, it does not have to remove the option.

How do 360 photo booth rental prices decide when to buy the platform?

Use your own invoices rather than an average: 360 photo booth rental prices swing by city and by season, so the only figures that count are what you pay per date and what you charge for it. A 360 platform starts at €2,771 plus VAT. Divide that by the margin one event leaves you and you have the number of Saturdays after which renting a 360 photo booth costs more than owning one.

Is it better to buy an existing photo booth rental business than to start one?

It depends what is actually being sold. A photo booth rental business for sale is usually machines plus a client list, and only the machines can be checked: ask for their age, the printer counter and whether the software licences transfer. A photo booth hire business with two tired cabinets and no repeat clients is worth less than the €2,359 plus VAT a new booth costs. Buy the diary, not the story.

Do I need a new machine or will a used one do?

Either can work, and the trap is not the age of the cabinet. It is the two parts that decide whether a bargain stays a bargain, which we set out on our second hand photo booth page. Read it before you buy anything, including from us.
